Salem School District makes it easier for community groups to view facility availability, submit requests, upload insurance documents, and follow approvals online.

Requests are reviewed before approval. An available time is not reserved until the district approves the request.

Before you begin

Have the important details ready

A few minutes of preparation will make the request faster and reduce follow-up questions.

Your request checklist

You can review availability before signing in. These details are needed when you submit.

  • Dates and timesInclude setup and cleanup time.
  • Preferred spacesKnow the building, room, field, or gym you need.
  • Expected attendanceProvide your best estimated number of guests.
  • Event detailsDescribe the activity and how the space will be used.
  • Setup needsList requested equipment, layout, or special arrangements.
  • Organization informationHave a contact name, phone number, and current email.
  • Current insurance documentHave a PDF available if your classification requires a COI.

Did you previously use ML Schedules?

Do not create a duplicate account. Your Salem Events account uses the email address associated with your previous ML Schedules events.

  1. Choose Set Up AccountOpen the secure account-access form.
  2. Enter your existing emailUse the same address connected to your previous events.
  3. Create your passwordOpen the secure email link and finish setting up access.

From availability to approval

Follow these four steps to request a district facility.

Check availability

Review the public calendar for the date, time, and space you need.

Set up or sign in

Access your existing Events account or create a new one.

Complete your request

Add the schedule, attendance, setup needs, and any required documents.

Follow the review

Track questions, documents, and the final decision in My Events.

Insurance, fees, and approval

Know what may be required

Requirements depend on the organization, requested space, and type of use. The system will identify the items that apply to your request.

  • Some classifications must upload a current Certificate of Insurance as a PDF.
  • Some spaces and types of use may have facility fees.
  • Certificates previously provided through ML Schedules do not carry over.
  • Insurance approval and event approval are separate reviews.

Please note: An available time, an approved COI, or a paid fee does not reserve a facility by itself. The request must receive final event approval.

Understand your request status

My Events shows what is happening and whether you need to take action.

Needs Information

Open My Events to review the question or missing requirement.

Approved

Your event is approved and the facility is reserved for the approved schedule.

Conflict or Declined

Open the request in My Events for the reason and available next steps.

Frequently asked questions

Questions before you begin?

Can I request more than one date?

Yes. When available in the Schedule step, use the repeat options to request a recurring series. Each occurrence is checked for availability and may require review.

Can I change or cancel a submitted request?

Open the booking in My Events to request an edit, reschedule, or cancellation. A requested change does not take effect until it is reviewed.

When is the facility officially reserved?

The facility is reserved only when the event request shows Approved. Calendar availability, document approval, or payment alone is not final event approval.

Where can I review fees and policies?

Open Calendar & Availability and select Fees & Policies. Any requirements that apply to your request will also appear during the request process.

What if I cannot access my ML Schedules email?

Check spam or junk folders first. If you no longer have access to that email address, contact the district rather than creating a duplicate account.

Should district employees use a public Events account?

District employees should sign in to Asset Manager and use the internal Events module. Public Events accounts are intended for community organizations and other outside requesters.
